Day 60: read-only Microsoft places the unlicensed OneDrive into read-only mode. Users can no longer treat it as an active working location. Waiting until this point to discover undocumented workflows or shared links is avoidable operational risk. Day 93: archive or recycle-bin path For an active Entra identity, Microsoft archives the OneDrive. It remains visible through administrative tooling, but the content is not normally accessible until an administrator takes a supported reactivation action. An archived account retained by a retention policy or legal hold still creates archive-storage cost when unlicensed OneDrive billing is enabled. Retention is a preservation requirement, not free storage. Prolonged unpaid archive storage Microsoft’s current documentation warns that unlicensed OneDrive data is at risk after prolonged non-payment, including where retention or holds exist. It describes data removal after 275 days of non-payment and deletion after a cumulative 12 months. Do not design a compliance process around unpaid storage.

Operational transfer
Move files that belong to a team, client, project, or process into an appropriate SharePoint site or another controlled repository. Reassign ownership of Power Automate flows, shared links, and business processes separately; copying files alone does not repair every dependency. Time-limited recovery Keep the account only for a documented transition period, with an owner and deletion date. The plan should finish before the read-only or archive milestone unless archive billing is intentional. Regulated preservation If files must be retained for legal, regulatory, or records-management reasons, apply the correct retention control and fund the resulting storage. Confirm that the policy actually covers the content before removing the licence.
What not to do
Do not keep every leaver as an active, unlicensed Entra user indefinitely.
