Removing a licence does not automatically settle what happens to a former employee’s OneDrive data. Review retention, archiving and potential billing consequences before changing the account.
Before revoking the license, decide who needs the data, where it should be transferred and how it will be further funded or removed. Do not confuse the date of revoking the license, the date of removal of the user and the retention period of their content.
What does losing a license currently mean?
According to Microsoft's current overview, relevant unlicensed accounts go read-only after 60 days and archive after 93 days. The documentation also describes a cumulative 365-day grace period from July 1, 2026, and the associated risk of removal.
For accounts that were already unlicensed and unpaid on July 1, 2026, it states the risk from July 1, 2027 at the earliest. For a later loss of license, the period is assessed according to the specific account. There are exceptions for the environment types listed; this article is for a common commercial scenario.
For deleted users, the standard OneDrive deletion process also comes into play. Therefore, each account cannot be mechanically assigned one term according to this brief timeline.
Prepare an overview of individual accounts

Collect data in the same period and with stable identifiers. An account nickname or old email may not be enough if the person has been renamed or moved.

Standard storage and Archive storage have different uses
The current Standard storage documentation describes the setting of active time at the tenant level as well as the possibilities of working with a specific account. The supported tenancy period is 93 to 3,650 days; it is not an indefinite leave without further decision.
Before designing, determine whether people need regular work with the content or a one-time takeover. Long-term access to the former employee's agenda may not be well addressed by permanently extending his personal space.
The agenda owner has to confirm the destination. Team documents often need team ownership and maintained accesses, not a commitment dependent on an old personal account.

Model example: one account and a large historical inventory
A hypothetical business needs the contents of one archived OneDrive of 8 GB. At the same time, he has a number of other unlicensed accounts. The size of a single account is not a sufficient basis for approving a financial change.
